Business Process Automation

Stop doing the same work by hand.

We map a process your team repeats, decide which steps a system should handle and which need a person, then build, test and maintain the agreed automation. Most projects are custom because every business prices, records and hands off work differently.

Our booking page calls this a Growth System Review. You can use the session to discuss and buy this service on its own.

Work stalls when the next step lives in someone’s memory.

An estimate waits until someone has time to build it. A quote is sent but never recorded. Two people follow up the same contact. Useful automation begins with a defined process, a reliable record and a clear owner for the steps a person still decides.

Why this work matters

93% of homeowners say an instant estimate influences who they hire.

Make the next pricing step and its owner clear. Your team prepares and approves prices; bespoke estimate workflows are scoped and quoted separately.

Housecall Pro surveyed 1,040 US homeowners or household decision-makers in October 2025. A separate publisher page states that 93% said instant estimates affect hiring decisions; the exact questionnaire wording and response options are undisclosed. Stated preference cannot establish sales lift or a return from bespoke automation.

The managed work

What we take care of

Process mapping

Document how the work happens today, where it slows down and what a good result looks like.

Estimates and proposals

Where pricing follows rules you approve, build a workflow that prepares estimates or proposals from your price library for your team to check and send.

Customer records, routing and reminders

Configure agreed CRM fields, pipeline stages, assignments and reminders with clear triggers, exceptions and responsible people.

Integrations, maintenance and reporting

Connect the agreed systems after checking access and compatibility, then test, monitor and maintain the workflows in your ongoing scope.

Working together

How the service runs

  1. Map a real process

Choose the process that costs the most time or causes the most dropped work. Define what starts it, who decides what and what a successful result looks like.

  2. Build and test

Build the agreed automation and test expected cases, exceptions and staff responsibilities with your team.

  3. Maintain the working process

Monitor the scoped workflows and refine them as the business changes, with new requirements agreed separately.

Illustrative example

An estimate workflow with a visible exception

Illustrative process map, not a claim of a live integration with a specific platform.

Trigger

Example input: after a site visit, the measurements and selected options are recorded against the customer.

Prepare for review

Draft record: the estimate is prepared from the approved price library and assigned to the estimator to check and send the same day.

Exception

Exception record: one option has no approved price, so the draft is held for review. The estimator sees the missing item and next action.

A clear scope

What to agree before we start

Basic enquiry recording, assignment and inbox setup required to deliver another purchased service are included in that service. You do not need this additional purchase simply to record callers or message senders.

Each process is individually scoped and quoted. Your team sets and approves prices; an estimate workflow prepares them from your rules and does not decide them.

Compatibility, account access, software charges and ongoing responsibilities are confirmed before implementation. The service name is not a promise to automate the whole business.

Standalone pricing, timing and service commitments are set out in your proposal. The Growth System’s package timing and guarantee do not automatically apply to an individual service.

Useful details

Questions about Process Automation

Can you speed up our estimates or proposals?

Often, where pricing follows rules your team can write down. We map how estimates are built today, then scope a workflow that prepares them for your team to check and send. Bespoke pricing still needs a person.

Do I need this to buy Answering Service?

No. Necessary basic enquiry recording and inbox setup come with Answering Service. Broader process work is a separate scope.

Can you work with our existing CRM?

We review your current system, access and integration options before proposing work. Compatibility is confirmed rather than assumed.

What can you automate?

We scope specific processes with a defined trigger, action, exception and owner. Examples include estimate preparation, contact assignment, reminders and agreed status updates.

Connected work

Prefer one managed package?

The Growth System connects work across the customer journey. We plan the work around what your business needs. Capabilities you already handle do not automatically reduce the package price.
